As notaries and loan signing agents, we are trusted with some of the most sensitive personal information a client can hand over. Loan packages often contain names, addresses, signatures, financial details, and other confidential information. Because of that, protecting those documents is not just a good habit. It is part of our professional responsibility.

One issue that deserves more attention is how document packages are stored while we are on the road.

Many signing agents have busy days with multiple appointments scheduled back to back. In the middle of that rush, it can be easy to place packages on the front seat, in the back seat, or somewhere else inside the vehicle where they are convenient to reach. But convenience should never come at the expense of security.

If packages are visible through your car windows, they are vulnerable. Anyone passing by can see them. Even if someone does not know exactly what the documents are, a stack of envelopes or packages left in plain sight can be enough to invite theft. And once those documents are gone, the consequences can be serious for both the client and the notary.

The best practice is simple: packages should be stored securely and out of sight at all times.

If your vehicle has a locked trunk, that is usually the best place to keep packages until they are dropped off. If you do not have a trunk, then take extra care to place the documents somewhere they are not visible from outside the vehicle. The goal is to make sure they are not sitting in plain view where they can attract attention.

Of course, many signing agents spend long days on the road, and sometimes holding multiple packages is unavoidable. That is the reality of this business. But whenever possible, it is a smart idea to drop off completed packages as soon as you can. If you happen to be passing a FedEx location, drop box, or other approved shipping point during your day, it may be worth making the stop rather than carrying sensitive documents around for hours.

Yes, dropping everything off at the end of the day may feel more efficient. But from a security standpoint, reducing the amount of time you are transporting completed packages is often the better choice.
